EMPLOYMENT POSTING POSITION: Administrative Coordinator

OVERVIEW
Bard on the Beach is Western Canada’s largest professional Shakespeare festival, with a focus on providing accessible, inclusive, and vibrant theatrical works to the public. The Festival presents Shakespeare plays, related dramas and special events from June to September in two modern theatre tents, in the magnificent waterfront setting of Sen̓ákw/Vanier Park. POSITION SUMMARY
The Administrative Coordinator will support the logistics and daily operations of Bard’s administrative offices at the BMO Theatre Centre. Key responsibilities include front desk reception, coordinating building maintenance, supporting IT needs, and managing general office tasks. You will provide administrative support across departments and help maintain efficient office operations when the Operations Team moves to the Festival site in Sen̓ákw/Vanier Park from May-September. This role is a great fit for anyone who is interested in getting started in arts administration.

You will be a member of the Operations Team in the Operations, Administration and Finance Department and will be part of a welcoming and collaborative staff team that is deeply committed to upholding and practicing Bard’s Company Commitments.

 

RESPONSIBILITIES

  • Handles daily reception duties, including monitoring the main phone line and email inbox, greeting and directing visitors, managing incoming and outgoing mail, and responding to administrative requests and inquiries.
  • Manages office supplies, resources, and equipment, including ordering and tracking purchases, coordinating shared spaces, and maintaining relationships with suppliers.
  • Performs administrative tasks as required to support programs, events, and activities across the organization including administrating Access Fund funding applications, processing voucher donation requests and organizing large meetings.
  • Supports the Operations team in managing building facilities, including building access, repairs, and maintenance services.
  • Assists the Operations team with studio and costume shop rentals at the BMO Theatre Centre.
  • Works closely with the Operations and Finance teams to manage the relationships and shared costs related to the BMO Theatre Centre.
  • Organizes and coordinates IT infrastructure and systems with the Operations team.
  • Collaborates with the Volunteer Coordinators at Bard and the Arts Club to manage the BMO Theatre Centre Concierge volunteer program.

 

QUALIFICATIONS

  • Relevant experience providing administrative support in an office, school, or organizational setting, or a combination of training and experience.
  • An interest in the theatre and the arts, and a desire to learn more about working in arts administration.
  • Communicates clearly and professionally in a friendly and approachable manner.
  • Strong teamwork skills and the flexibility to adapt to how others work.
  • Demonstrated problem-solving skills and a proactive approach to finding solutions.
  • Proficiency with Microsoft Office suite; familiarity with Microsoft Teams is an asset.
  • Comfortable with technology and learning IT systems (a PC laptop will be provided).
  • Able to work independently with limited supervision, particularly when the Operations Team is based at the Festival site in Sen̓ákw/Vanier Park (May-September).

 

HOURS
January to October, full-time contract position (37.5 hours per week) with the possibility to extend beyond October. Regular office hours are Monday-Friday, 9am-5pm. Some evening and weekend may be required to support rentals or events. Flexible scheduling is provided to accommodate these occasions.

You will work primarily in person at the BMO Theatre Centre in Olympic Village.

 

COMPENSATION
$21 per hour
