OVERVIEW
Bard on the Beach is Western Canada’s largest professional Shakespeare Festival. Its annual budget is $8 million, and it employs a year-round team of professional artists and administrators. The Festival offers Shakespeare plays, related dramas and special events from June to September, in two modern theatre tents in a magnificent setting on the waterfront in Vanier Park. The Festival also offers year-round educational programming at the BMO Theatre Centre in Olympic Village, and throughout the Lower Mainland.

POSITION SUMMARY
The Patron and Volunteer Coordinator & Supervisor is part of the Senior Operations Management team. They will work directly with the Director of Operations and Operations Manager to manage the Front of House, volunteer and seasonal operations staff and ensure the overall experience felt by the patrons, staff and volunteers towards the Festival is positive and engaging. They will also support the daily operations of the festival and events throughout the year. The Patron and Volunteer Coordinator & Supervisor is responsible for all aspects of Volunteer and Front of House coordination including recruitment, orientation, scheduling, evaluation, and recognition. Primary duties will include on‐site coordination of over 300 volunteers and 10-15 seasonal front of house staff for over 200 performances and events. During the off-season the Patron and Volunteer Coordinator & Supervisor will work directly with the Director of Operations and Operations Manager to manage the facilities and operations of the BMO Theatre Centre including facilities maintenance, managing studio rentals and supporting the administrative staff and events.

RESPONSIBILITIES/DUTIES

  • Recruitment, initial contacting, screening, contracting and general orientation of all volunteers.
  • Regular scheduling of enough volunteers for each performance or event.
  • Nightly deployment of volunteers on site to various work areas based on volunteer strengths, abilities and responsibilities required.
  • Continual contact and support of volunteers where appropriate including affirmation, evaluation, correction, discipline, and release, if required.
  • Evaluating the volunteer program through feedback, focus groups and surveys using Survey Monkey, Zoom and Microsoft Teams.
  • Development and execution of recognition program including gift packages, incentives, and annual volunteer appreciation events both in person and virtually using Zoom and Microsoft Teams.
  • Designing and coordinating monthly newsletter to volunteers using Email Marketing software Dotdigital.
  • Development and maintenance of accurate records of all volunteer activity including availability, hours worked, experience and training using the Better Impact volunteer database and Spektrix ticketing database.
  • Direct supervision of some volunteer positions.
  • Senior Operations Management representative for most of the evening performances.
  • Work directly with Operations Management to ensure the safety and wellbeing of patrons, volunteers, and front of house staff. This includes assisting with staff and volunteer training on the evacuation and emergency procedures for the festival site.
  • Work with Operations Management to ensure Front of House staff are hired, trained, and supervised during the season.
  • Maintain clear communication channels to keep volunteers, Front of House staff and seasonal operations staff informed.
  • Liaise with the Stage Management team during the season.
  • Work directly with the Operations Management and the Facilities Coordinator to organize and maintain the waste facilities as well as coordinating the general repairs and maintenance of the festival site during the season.
  • Work with Operations Management and the security company to ensure the required security needs are met throughout the season. Using remote access software for accessing security cameras, updates and programming of codes.
  • Assist the Operations team with off-season events including the Vancouver International Wine Festival and other community initiatives.
  • Respond to and resolve problems with our facilities at the BMO Theatre Centre. Using HVAC DDS system to access the building’s HVAC system.
  • Coordinate rehearsal hall rentals including scheduling, contracting and orientation.
  • Prepare departmental expense reports using Excel spreadsheets.

QUALIFICATIONS/SKILLS

  • The successful candidate will be a team player yet able to work independently, self-motivated, highly organized and accurate with strong leadership experience.
  • Proven track record of successful coordination and management of large groups of staff or volunteers at public events.
  • Minimum 2 years experience in front of house management is required.
  • Minimum 1 year of volunteer management experience is preferred.
  • Must be very comfortable and confident with public speaking.
  • Minimum Level 2 First Aid training is required.
  • Knowledge of and/or experience using software for volunteer management, marketing, surveys, ticketing, as well as all Microsoft products including Microsoft Teams, is required.
  • Experience with Better Impact, Dot.Digital, Survey Monkey and Spektrix software is preferred.

TERMS OF EMPLOYMENT
Full time, permanent position, 37.5hrs/week.
